DMA Global is a Professional Recruitment firm supporting our client in their search for a Property Manager Support Assistant. 

They are a small residential property management company that serves single-family dwellings for non-resident owners as well as investors.   

The general duties of the Property Manager Support Assistant will include:

  • Answer all incoming calls, forward to other staff and distribute messages;
  • Receive and respond to all general email inquiries;
  • Assist with new tenant screening (telephone call pre-screening);
  • Manage maintenance requests for current tenants (incoming calls, emails, photos, contact contractors, follow-up for completion, invoice management, owner alerts, etc...);
  • Troubleshoot maintenance issues with tenants for appropriate follow-up;
  • Willingness to be ‘on-call’ for after-hour tenant issues;
  • Schedule property repairs and maintenance based on property management requests, gather quotes for repairs and support property managers while they are in the field;
  • Prepare and distribute monthly owner statements in cooperation with the in-house property accountant;
  • Filing and administrative support to ensure leases and management agreements are up to date, and fully executed;
  • Reviews executed documents for completeness and accuracy;
  • Preparing leases, lease renewals, and management agreements in MS Word;
  • Prepare and track data in MS Excel;
  • Prepare/edit documents in PDF editors;
  • Run reports on lease end dates, outstanding work orders, and provide appropriate follow-up for any outstanding items;
  • Editing photos for advertising (photo editing skills a plus);
  • Posting properties online and on multiple social media platforms;
  • Lead the company’s social media efforts to maximize performance/exposure on a variety of social media platforms, increasing use and awareness (strong social media skills are required);
  • Prepare and distribute newsletters and other marketing messages to clients, customers, and business connections;
  • Bring strong problem solving and inquiry skills;
  • Independently resolve issues based on knowledge and experience;
  • Focus on a multitude of details, lists, follow-up, and support of all team members;
  • Willingness to take on additional challenges;
  • Use property management software to manage the flow of information daily, knowledge in Propertyware an asset;
  • Duties as assigned by owner/ broker, and office manager/accountant.
