DMA Global is a professional recruitment firm support our client in their search for an Information Coordinator.

Overview

The Information Coordinator is responsible for working on-site within a client environment as part of a well-established Managed Services team where an ability to assess customer requirements and provide timely and accurate service is paramount. As the primary point of contract, you assign day-to-day work activities throughout the team and monitor workload to ensure all Service Level Agreements are met. You possess proven leadership skills, excellent communication skills and the ability to work in a fast paced, high performance environment. You will report directly to the Site Coordinator.

Responsibilities include, but not limited to, the following:

  • Responsible for maintaining an in-depth understanding of day-to-day base service activities and working with the team to drive process improvements to baseline services
  • Managing the information assets and service requests and fulfillment activities associated with off-site storage, information management, archive and library services

  • Managing day-to-day imaging process activities for Land, Well and Facility documents

  • Responsible for the daily maintenance and upkeep of Livelink records systems

  • Responsible for reporting on site activities via both verbal and written reports on a scheduled basis

  • Conducts regular quality control audits on operational activities and responsible for the timely updating of operational procedures and communicating any changes to the Site Coordinator

  • Responsible for communicating to stakeholders any exceptions or delays to service via an established communication plan

  • Supports on-boarding of new team members and coverage plan within the site

    Primary client interface

  • Identify and document inefficiencies in work processes and suggest improvements to stakeholders

  • Support team members by being cross-trained for their positions

  • Protect the integrity, authenticity and confidentiality of records and information by strictly following all standards and practices

  • Develop, maintain, and improve relationships with key stakeholders and partners within the organization

  • Promote the established can-do attitude and within the team

  • Responsible for coordinating day-today business decisions on work assignments, however no staff supervision responsibilities are associated with this position

  • Special projects as required

Qualifications/Skills

  • Must be legally entitled to work in Canada

  • Post-secondary education in records or information management preferred

  • 2-5+ years’ experience in executing records management activities

  • Experience with Opentext Livelink and Kofax is big asset

  • Must have an above average ability to work with a variety of software platforms

  • Proven analytical thinking and strategic problem solving

  • Exceptional communication skills, sound judgment, and proven attention to detail

  • Ability to build and maintain effective working relationships with all levels of staff, stakeholders and external partners

  • Knowledge of oil and gas operations and business activities

  • Prioritization of work priorities according to business needs and ability to meet critical deadlines in a fast paced environment

  • Must be able to interpret instructions clearly and be deadline oriented

  • Works well independently and in a team environment

  • Able to lift materials weighing up to 15 kg (35 lbs)
